Job Summary :

The Office Manager Assistant provides administrative and clerical support to the office manager to ensure smooth and efficient office operations. This role involves managing office supplies, assisting with scheduling and coordination, handling communication, and supporting various administrative tasks.

Responsibilities:

  1. Administrative Support:
  • Assist in the preparation and organization of documents, reports, and presentations.
  • Handle incoming calls, emails, and inquiries, directing them to the appropriate person or department.
  • Maintain office files and records in an organized and accessible manner.
  1. Office Operations:
  • Manage office supplies, including ordering and restocking as needed.
  • Oversee the maintenance and cleanliness of the office space.
  • Assist in coordinating office events and meetings.
  1. Scheduling and Coordination:
  • Schedule appointments and meetings for the office manager.
  • Coordinate travel arrangements for staff, if required.
  • Ensure timely communication of schedules and changes to relevant parties.
  1. Communication:
  • Act as a liaison between the office manager and other staff members.
  • Draft and proofread correspondence, memos, and reports.
  1. Data Entry and Record Keeping:
  • Input and update data in relevant databases or systems.
  • Maintain accurate and up-to-date records of office expenses and transactions.
  1. Team Collaboration:
  • Collaborate with colleagues to facilitate effective communication and teamwork.
  • Provide support to various departments as needed.

Qualifications:

  • Proven experience in a similar administrative support role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
